This policy explains how Tivuzo (“Tivuzo”, “we”, “us”) collects and uses personal data when you visit https://tivuzo.com/, contact us, request a trial or use our service. We process personal data in line with the Data Protection Act, 2019 of Kenya and other laws that apply to us.
1. Who is responsible for your data

When a hotel or lodge uses Tivuzo to manage its own guests, staff and suppliers, that property is the data controller for that information and we process it on its behalf, under our agreement with the property.
2. What we collect
- Information you give us: your name, property name, email, phone or WhatsApp number, location, the details in your message and your preferred web address.
- Account information: for customers, the names, emails and roles of the users you add, and billing details.
- Technical information: your IP address, browser type and the pages you visit, recorded in our server logs to keep the website secure and working.
- Analytics: if analytics is switched on, anonymous usage statistics about how visitors use the website.
3. Why we use it
- To reply to your enquiry and set up and support your trial or account.
- To provide the Tivuzo service you have signed up for, and to bill for it.
- To keep the website and service secure and prevent abuse.
- To send you service messages, and, only if you agree, occasional product news. You can opt out at any time.
We rely on your consent, on steps needed to enter into or perform a contract with you, on our legitimate interest in running and securing our business, and on legal obligations, as appropriate.
4. Who we share it with
We do not sell personal data. We share it only with service providers who help us run Tivuzo, such as hosting, email and payment providers, under contracts that require them to protect it, or where the law requires us to. Where data is transferred outside Kenya, we take the safeguards required by law.
5. How long we keep it
We keep enquiry and trial information for as long as needed to follow up and for a reasonable period afterwards, and customer information for as long as the account is active and as required for tax and legal purposes. We then delete or anonymise it.
6. How we protect it
We use encrypted connections, individual user logins, role-based access and activity logs, and we limit staff access to what their work requires.
7. Your rights
You have the right to be informed about how your data is used, to access it, to have it corrected or deleted, to object to or restrict its use, and to receive a copy in a portable format. To use these rights, email [email protected]. You may also complain to the Office of the Data Protection Commissioner in Kenya.
8. Cookies
The website uses a session cookie to protect the contact and trial forms from misuse. If analytics is switched on, analytics cookies may also be used to count visits. You can block or delete cookies in your browser settings.

We may update this policy. The date at the top shows when it last changed. Significant changes will be highlighted on this page.
